Moving Files from My Drive to Shared Drive
- Access to files and folders after the migration:
- The ownership of the moved file is changed to the destination shared drive, but the original owner can still view them in the Shared with me and recent views
- The users who the files are shared to will see no change
- Members of the destination shared drive will have access to all of the files, including hidden files. To make the hidden files private again, you will need to stop sharing those files, then share them with the respective parties again.
- Currently, Drive does not support moving files owned by external users, even if they are members of the destination shared drive.
- A user must have edit access to the file, be a member of the destination shared drive, and have one of three roles on that shared drive; contributor, content manager, or manager
- For existing folders, you could have users grant Viewer access or higher to an admin account.
- The other way for a user to be able to move files would be to assign the Service Admin Role, but note that assigning this role allows them more than just permissions to move all files in your organization
- And lastly, creating a custom role that only has access to Drive and Docs and assigning that role to a user would also work.
